Shipping Policy

Pinky Textile manufactures and exports linen fabrics to international markets. This policy outlines our shipping procedures, timelines, and terms applicable to bulk textile orders. As our business operates primarily in the B2B segment, shipping terms are tailored to commercial export requirements.

Order Processing

Once a purchase order is confirmed in writing and the applicable advance payment is received, the order enters our production queue. The processing workflow includes:

  1. Order confirmation: Written acknowledgement issued within 2 business days of receiving the purchase order and advance payment.
  2. Production scheduling: Orders are scheduled based on current production capacity and the complexity of the order specification.
  3. Pre-shipment inspection: Completed goods undergo final quality inspection before packing and dispatch.

Production Lead Time

Production lead times vary depending on the nature and volume of the order:

  • Standard fabrics (stock constructions): 15 to 25 business days from order confirmation.
  • Custom-dyed fabrics: 20 to 35 business days, depending on colour development and approval cycles.
  • Fully bespoke orders (custom weave, yarn, and finish): 30 to 45 business days, inclusive of development sampling.

Lead times are indicative and may be affected by order volume, seasonal demand, and raw material availability. Confirmed lead times are communicated in the order acknowledgement document.

Shipping Methods

We ship through established freight channels suitable for bulk textile consignments:

  • Sea freight (FCL / LCL): Standard for large-volume orders. Full container load or less-than-container load options are available depending on shipment size.
  • Air freight: Available for urgent or sample shipments. Higher cost but significantly shorter transit time.
  • Courier services: Used for fabric samples, swatches, and small documentation packages. Typically dispatched through DHL, FedEx, or similar international couriers.

The appropriate shipping method is determined during quotation and order confirmation based on destination, volume, and urgency.

International Shipping Terms (Incoterms)

Shipments are executed under internationally recognised Incoterms. The applicable term is specified in the commercial invoice and purchase order:

  • FOB (Free on Board): Goods are delivered to the port of origin in India. Risk transfers to the buyer once goods are loaded on the vessel.
  • CIF (Cost, Insurance, and Freight): Includes cost of goods, insurance, and freight charges to the destination port. Risk transfers once goods cross the ship's rail at the port of origin.
  • Ex-Works: Goods are made available at our factory premises. The buyer arranges and bears all costs of transport from the factory.

Unless otherwise agreed, our default shipping term for international orders is FOB Kolkata Port / ICD Bhagalpur.

Customs Duties and Import Taxes

All customs duties, import taxes, and clearance charges at the destination country are the responsibility of the buyer, unless the agreed Incoterm explicitly includes these costs (such as DDP terms).

We provide all necessary export documentation, including commercial invoices, packing lists, certificates of origin, and any required compliance certificates to facilitate smooth customs clearance at the buyer's end.

Delivery Timelines

Estimated transit times from Indian ports to common destination regions:

  • Europe (UK, Germany, Netherlands, Italy): 25 to 35 days by sea
  • Middle East (UAE, Saudi Arabia): 10 to 15 days by sea
  • East Asia (Japan, South Korea): 18 to 25 days by sea
  • North America (US, Canada): 30 to 40 days by sea
  • Australia: 20 to 28 days by sea
  • Air freight (global): 5 to 10 days

These are estimated timelines and may be subject to variation due to port congestion, vessel scheduling, weather conditions, and customs processing at the destination port. Pinky Textile is not liable for delays caused by shipping carriers or port authorities.

Damage in Transit

All shipments are packed in accordance with international textile export standards, including polythene wrapping, corrugated packaging, and bale protection appropriate to the mode of transport.

For CIF shipments, marine insurance covering the consignment value is arranged by Pinky Textile. Claims for damage must be reported by the buyer within 7 days of receipt, supported by photographic evidence and relevant shipping documents. For FOB shipments, the buyer is responsible for arranging transit insurance.

Force Majeure

Pinky Textile shall not be held liable for delays or failure to fulfil orders caused by circumstances beyond our reasonable control. These include, but are not limited to:

  • Natural disasters, floods, earthquakes, or severe weather events
  • Government-imposed restrictions, trade embargoes, or sanctions
  • Port closures, vessel cancellations, or shipping lane disruptions
  • Raw material shortages or supply chain disruptions beyond our control
  • Pandemics, public health emergencies, or labour strikes

In the event of a force majeure situation, we will notify the buyer promptly and work to mitigate the impact through alternative arrangements where feasible.

Shipment Tracking

For all confirmed shipments, Pinky Textile provides the buyer with bill of lading details, vessel name, estimated arrival date, and tracking references where available. Buyers may contact our logistics team for shipment status updates at any time during transit.
